Description and Activities C. Steinweg Oman LLC

Since 2004 C. Steinweg Oman LLC (CSO) operates a large general cargo terminal in Sohar (Oman), currently employing more than 500 fte. Our terminal of around 70 hectares facilitates a.o. the transfer of cargoes between ship and shore vice versa, transshipment and executes value adding services. CSO handles a wide variety of cargoes: Dry Bulk (aggregates, concentrates, ores, industrial feedstock), Project Cargo (OOG and heavy lifts), Breakbulk (coils, billets, wire rods, plates, big bags, timber), RORO (cars, building equipment, cargo on mafi), and livestock. Furthermore, we operate a warehouse with bonded status as well as a Container Freight Station (CFS). Our operation runs 24 hrs per day, 365 days a year. CSO is ISO-9001 certified.

Department objective

The Commercial Department facilitates the companies’ goal to maintain and to develop a sustainable and value creating business environment on said market segments/commodities.

The department’s day to day tasks cover the activities of:

  • Sales and business development (new business)
  • Account management and account development (existing business)
  • Pricing, negotiations and contract preparation
  • Invoicing and administration
  • Customer Service
  • Marketing
  • Gathering market intelligence

The Commercial Department is the interface between the Company and its clients. The department has about 18 employees in total.

Position Objective

CSO is growing fast, while at the same time we are committed to continue to provide, improve and develop world-class services.

The focus of the Commercial Operations Manager will be mainly internal, with the objective to safeguard quality, professionalism and efficiency within the commercial department and regarding the services that CSO provides. All with the mind-set and goal to support the department and work smart, while providing clients with a superior service.

Position in the Company

The Commercial Operations Manager is part of the Commercial department and reports to the Head of the Commercial department (HOD). He / She amongst others leads the Commercial Back Office, which responsibilities include but are not limited to:

  • Guarding service levels and objectives (KPI driven)
  • Checks & controls of operational data, registered in MTN as input for timely, correct and complete invoicing
  • Invoicing
  • Customer service (e.g. interaction with clients on invoicing, cargo collection/delivery documents, questions, complaints and request)
  • Converting quotations / agreements into IT systems as the basis for correct/complete invoicing
  • Generating statistics / collecting business intelligence & strategic information
  • Relieving Sales from administration / registration, for them to focus on sales

There is close contact with the Sales & Account teams within the Commercial Department, and with the Operations & Tally department for seamless implementation of new business, and execution of existing business.

Key Tasks and Accountabilities

The key tasks and accountabilities of the Commercial Operations Manager, include:

  • Leading and developing the back office operation on a day to day basis
  • Quality management, including but not limited to:
    • Process improvement and/or implementation
    • (Further) standardization and document control
    • Optimizing existing KPIs / implementing new KPIs
    • Further development and safeguarding of compliancy policy (code of conduct, sanctions/embargos, clients due diligence / vendor registration)
  • Improvement customer satisfaction in cooperation with sales teams and other departments
    • Customer complaint registration, analyses & follow up
    • Conducting customer satisfaction surveys, analyses & follow up
    • Implementation of CRM system
  • Optimization the use of IT systems, including but not limited to:
    • Terminal Operating System (MTN)
    • Invoicing
    • Statistics
    • CRM
  • Generating strategic information:
    • Statistics (cargo / clients)
    • Business intelligence
  • Active leadership in project development

Profile, Qualifications Competencies and Skills

Personal Attributes: The Commercial Operations Manager understands the business, its requirements, and the interests of customers. He/She is a pro-active person, has a very strong analytical mindset, has the ability to truly understand a root-cause and propose a fitting solution for improvements. He/She is persistent, accurate, thorough, data-driven and has a huge drive for quality, efficiency and productivity. He/She understands the benefits that IT can offer to work smart and compliant.

Guarding the quality of the work of your team/colleagues and the services provided (from A to Z) is a vital attribute in Oman, and not to be taken for granted. This requires an in-depth understanding of details and close cooperation with direct colleagues and other departments. 

Education: Working level will be minimum Master of Science / WO or equivalent, not necessarily backed up by diploma and/or certificates, but in practice.

Experience: 3+ years of experience in a similar function. Proven international experience in commercial operational excellence is crucial. Knowledge of/Experience in the logistic sector is considered a must to be successful, as well as knowledge of the clients’ activities and requirements.

Leadership: He / She is recognized as hands-on and pro-active leader and build relationships with the different commercial teams and across the company. Shows professional work ethics; no 9 to 5 mentality. Leading by example. Manages and coordinates promptly, and is not afraid to dive into details in order to be able to lead the next steps.

Integrity/Honesty/Transparency: Truthful, upright and acts according to what is right are key. Adherence to C. Steinweg compliancy. The attitude within CSO is not only to address what needs improvement, but to actively participate in it and to share achievements with the ones who contributed to them. CSO embraces an open communication culture.

Respect: Hold the people around him/her in high esteem and show consideration.

Language(s): Minimum requirement, proficiency in English: fluent (minimum CPE level B2), verbally and in writing.

(Continuous) improvement: The Commercial Operations Manager has a keen eye for commercial process interruptions and inefficiencies which hamper CSO service to the (new) client. He/She will act upon this by initiating and participation in improvements, while guiding his/her colleagues. Monitoring correctness and completion of the work of your direct colleagues is crucial; for which an eye for detail is required.

Place and Country of Residence

The Commercial Operations Manager will reside in Sohar (Oman). Oman is located in the Middle East, on the southeastern end of the Arabian Peninsula. In winter Oman has an excellent climate the subtropical temperatures ranges from 22°C to 25°C. During the summer months it can be quite hot and temperatures can go up to 45°C. Sohar is centrally located between the major cities Muscat, Dubai and Abu Dhabi which offer everything one could possibly need.

Sohar has a noticeable expat population consisting of citizens from multiple countries. Because of the large expat population, Sohar offers (international) schools, as well as various restaurants and shopping malls. The standard of education in Oman is generally high, and schools tend to have excellent facilities with extra-curricular activities.

Oman is a very safe country so it’s a particularly good environment to live in and to raise children.
