Overview:

The Assistant Customs Controller is responsible for supporting the coordination, administration, monitoring, and operational follow-up of customs clearance activities across the Imports, Exports, and Customs Declaration functions. The role supports Customs Supervisors and Declaration Officers in ensuring timely movement of documentation, workflow coordination, reporting, communication follow-up, and operational alignment between internal departments and external stakeholders. The position is also responsible for supporting customs compliance processes, monitoring departmental updates, and enhancing operational efficiency within the Customs Department.

Key Job Functions:

Operational Coordination & Workflow Management

  • Support the day-to-day coordination of customs operations activities.
  • Follow up on customs documentation flow between departments and stakeholders.
  • Coordinate workflow between Imports, Exports, and Customs Declaration teams.
  • Monitor pending operational actions and ensure timely follow-up.
  • Assist in tracking shipment progress and customs clearance timelines.
  • Support operational planning and scheduling activities within the department.
  • Escalate operational delays, bottlenecks, and documentation gaps where necessary.
  • Support smooth operational communication between internal departments and external stakeholders.

Documentation Management & Compliance

  • Monitor completeness and movement of customs-related documentation.
  • Ensure declarations and supporting documents are properly filed and tracked.
  • Support compliance with customs regulations, company SOPs, and operational controls.
  • Assist in monitoring customs permits, approvals, and shipment documentation requirements.
  • Ensure timely circulation of customs updates, operational reports, and clearance status updates.
  • Support the preparation and compilation of operational and customs-related reports.
  • Identify and escalate discrepancies or missing documentation where necessary.

Support to Customs Operations Team

  • Provide administrative and operational support to Customs Supervisors and Declaration Officers.
  • Support follow-up with KRA, KEBS, shipping lines, transporters, and other stakeholders where required.
  • Assist in coordinating physical verification and customs follow-up activities where necessary.
  • Support the implementation of customs operational procedures and departmental initiatives.
  • Assist in ensuring operational efficiency and workflow continuity within the Customs Department.
  • Support internal coordination meetings, departmental planning, and reporting activities.

Reporting & Communication

  • Prepare and share operational updates and departmental reports as required.
  • Maintain accurate operational records and tracking reports.
  • Support communication between operational teams and management.
  • Ensure timely escalation of urgent operational matters requiring management attention.
  • Maintain proper communication and professionalism with internal and external stakeholders

System Usage & Data Management

  • Support the updating of customs operational records and tracking systems.
  • Ensure confidentiality and proper handling of customs and client information.
  • Support accurate maintenance of operational databases and departmental records.
  • Utilise ICMS and other customs-related systems responsibly and professionally.

Health, Safety, and Environment (HSE) Management

  • Comply with the Company’s QHSE policies and procedures.
  • Promote safe working practices and report unsafe conditions or practices.
  • Uphold work ethics, operational discipline, and Company values.

Others

  • Support departmental projects and operational improvement initiatives.
  • Participate in departmental training, audits, and compliance activities.
  • Provide support to colleagues and operational teams where required.
  • Be flexible to work beyond normal working hours where operationally required.
  • Undertake any other reasonable duties assigned by Management.

Education

  • Diploma in Clearing & Forwarding, Logistics, Supply Chain Management, or a related field
  • Certification by the Kenya School of Revenue Administration (KESRA) is an added advantage

Experience

  • Minimum of 2 years’ experience in customs documentation and clearance, preferably within the logistics, warehousing, or FMCG industries.
  • Customs clearance processes and documentation procedures
  • ICMS, KenTrade, and customs operational workflows
  • Customs tariffs, HS codes, and regulatory compliance requirements
  • Import and export operational coordination
