Overview:

Responsible to follow up and control of Company’s import logistics operations, both for local and transit cargo, and ensuring proper clearance of documents, relevant charges, and payment thereof in line with company policy and procedure.

Key Result Areas

Business Operations Planning & Implementation

  • Ensure proper planning of daily import operations tasks as assigned by the manager
  • Check the status of respective shipments on the import schedule daily
  • Follow up on ongoing importations daily
  • Set up task priorities based on customer assignments and shipments.
  • Set up daily operational targets and plan of achievement
  • Liaise with warehouse supervisors/Tally clerks on proper storage of imported cargo
  • Following up on shipping and BOL documents for proper receipt of cargo in line with documentation
  • For transit cargo, collaborate with transport controllers on status of clearance of clients’ shipments, and send the necessary documentation
  • Arrange swift payments for all incoming shipments
  • Liaise with freight forwarders, customers and suppliers to ensure all consignments are properly received and assigned to respective destinations within a reasonable time
  • Monitor shipments from port of departure to final destination
  • Follow up and update clients on their cargo arrivals
  • Follow up and control cost estimates and pricing on importations
  • Organise and arrange shipping lines with ocean freight controllers where necessary
  • Monitor the status of the shipment from port of origin, and prepare necessary logistics for arrival
  • Advice company on business operations and profit maximisation strategies. 

Leadership & Management

  • Manage subordinates’ training and coaching in the division 
  • Advise and assist junior controllers on proper import processes where required
  • Follow up and guide subordinates on implementation of their daily tasks

Managing Reports

  • Prepare and provide import operations reports to the Import Manager
  • Manage import reports and ensure they are accurate
  • Assist Import Manager/leader in operations reports reviews and clarifications. 
  • Advise top management immediately when agreed procedures cannot be conformed to.
  • Report any incidents/damages to Management for immediate solution

Departmental costs & budgeting

  • Control clients/customers’ chargeable rates and ensure favorable charges rates for the company
  • Ensure no loss is attracted to employer from position holding
  • Responsible for departmental costs and profits incumbent to position

Performance management

  • Ensure job is performed to a high standard of excellence
  • Ensure accuracy of daily tasks and reports
  • Readiness to be assessed on job performance level
  • Readiness to be kept under an improvement plan in case of poor performance
  • Participate in employees’ job performance meetings in the division/department
  • Ensure job performed subject to SOPs and policies

Discipline management

  • Attend work on time and uphold time management
  • Abstain from late comings and abscondments
  • Follow company ethics and practices
  • Ensure good behaviour and respect in the company

Invoice & Files management

  • Manage invoices, shipping files and all documentation in the division/department
  • Ensuring all the correct documentation is sent to the responsible parties in a timely manner
  • Opening files on BOS for their respective shipments as per procedure
  • Allocation of invoices for their respective shipments
  • Manage preparation and handling of customs documents
  • Manage invoicing and ensure the charges are correct
  • As a responsible controller, to be able to justify any discrepancies arising from your files and invoices
  • Ensure timely clearance of files and that timely invoicing is done

Health & Safety Compliance

  • Always comply with health and safety rules, policy and procedure in the division
  • Ensure proper wearing of personal protective equipment (PPE)
  • Report health issues to the manager and escalate to Human Resources for proper procedure
  • Report any incidents/damages to Management for action
  • Participate in health and safety training for improvement with the division

Other

  • Perform other reasonable duties as may be assigned by management

Requirements

Education

  • Advanced Diploma or Bachelor’s degree in shipping logistics management, Clearing & forwarding, business administration or related field of study
  • 2+ years of experience in import &/or export logistics management

Technical Skills

  • High Level of Computer Literate
  • Microsoft Package (Word, Excel, PowerPoint)
  • Microsoft Email & Outlook program
  • Knowledge of special computer programs/software’s; SAP, BOS, TANCIS etc
